- Responsible for on-time transport-related activities reporting to the HOD.
- Review all the Transport drivers' travel expenses, accommodations, etc., before passing them for the head of department approval.
- Process and prepare all Transport staff and drivers' overtime reports in Kabul and the regions based on HR policy and procedures.
- Conduct investigations in cooperation with the HQ office accident section to determine the causes of vehicle accidents to improve safety procedures in terms of transportation.
- Maintain organized and accessible filing systems (both electronic and hard copy) for all logistics records related to the transport.
- Send the damaged and broken vehicles list to the Kabul workshop daily.
- Monitor any sudden route changes or road construction issues and work with drivers to establish new routes for timely deliveries.
- Guide and instruct Transport staff on how to manage their schedule for leave balance, absence, overtime, salaries, ID cards, movement reports, vehicle traffic documentation, regional trip expenses, air ticket booking, and any other activities in coordination with HOD.
- Evaluate and monitor the implementation of the company's administration rules, regulations, and policies on all transport staff.
- Timely update the shift planning and deployments and share it with the HOD for approval.
- Ensure efficient route planning and vehicle assignment to maximize cost-effectiveness.
- Assign the vehicles proper VRS-Email and security clearances.
- Timely update of the road permits and legal documents in coordination with the relevant department.
- Liaise with NRD administration and OPS teams to plan transportation needs and adjust rentals accordingly.
- Enter data in the computer system and maintain logs and records of calls, activities, and other information.
- Prepare the pay sheets for the food allowance, accommodations, travel expenses, and attendance for transport staff for approval by the HOD.
- Control all activities related to transport administration and the performance of the transport dispatch team.
- Supervise and train drivers on safety protocols, proper logbook usage, and vehicle care.
- Monitor GPS or vehicle tracking systems for all Transport management.
- Control all the vehicle’s manual registration documents in terms of their date validity.
- Coordinate daily deployment of vehicles based on programmatic and operational needs.
- Supervise and monitor Transport staff and drivers and provide full support regarding their daily activities and performances.
- Conduct employee training sessions and on-the-job training on harmful material, handling, employee orientation, and knowledge capacity.
- Any other tasks assigned by the HOD.
- Bachelor’s degree in business administration, logistics, supply chain management, or a related field.
- 2-3 years of experience in the fleet management field. (2 years' experience for a master's degree)
- Fluent in one of the local languages (Dari, Pashto) and English (written and spoken)
- Must have good knowledge of computer programs (especially office packages)
- Must have technical knowledge of transport and logistics management.
- Demonstrates a strong work ethic.
- Possesses excellent communication skills.
- Upholds integrity and honesty.
- Capable of performing well under pressure.
- Ability to troubleshoot and resolve issues that arise during work.
- Willingness to travel to other provinces and work additional hours.
