- Market & Opportunity Research
- Search online for new tenders/RFQs and product opportunities based on internal guidance.
- Read and understand basic technical descriptions, item specs, and scope documents.
- Shortlist relevant opportunities and share them with management.
- Vendor Sourcing & Communication
- Find manufacturers and authorized distributors online for required items.
- Contact vendors by email and phone during your shift to:
- Request quotes
- Clarify specifications
- Confirm stock, lead time, and shipping options.
- Follow up consistently until you receive complete quotations.
- Quotation & Pricing Preparation
- Collect all vendor price offers and organize them in Excel/Sheets.
- Compare prices, lead times, and technical compliance.
- Build clean, professional quotations using company templates.
- Double-check all numbers, SKUs, quantities, and terms before submission.
- Coordination & Documentation
- Keep accurate records of all vendor communications and quotes.
- Update internal trackers and CRM tools with status, prices, and follow-ups.
- Work closely with management to finalize margins and submission prices.
- Make sure deadlines are never missed and everything is submitted on time.
- Professionalism & Discipline
- Be punctual: login on time, attend calls on time, and meet every deadline.
- Be responsive: reply quickly on email, WhatsApp, or internal tools during your shift.
- Keep a professional tone in all communication with vendors.
Must-Have
- Fluent English – very good spoken and written English; able to speak clearly and confidently on the phone with international vendors.
- Strong IT Background – comfortable with:
- Online research, advanced Google search
- Excel/Google Sheets (formulas, filtering, sorting)
- Email tools, cloud storage, and basic CRMs
- Reading basic technical specs for IT, equipment, and machinery
- Critical Thinking Skills
- Can read a requirement and quickly understand what exactly is needed.
- Can tell if a quote is incomplete or risky and ask the right follow-up questions.
- Night-Shift Availability
- Ready to work night hours (not a typical 9–5), aligned with client/vendor time zones.
- Attention to Detail
- Very careful with numbers, quantities, SKUs, and dates.
- Double-checks work before sending anything out.
- Discipline & Work Ethic
- Highly dedicated, reliable, and consistent.
- Can work independently without constant supervision.
- Communication Skills
- Comfortable making frequent phone calls to vendors.
- Clear and polite communication style (no slang, no unprofessional language).
Nice-to-Have (Plus Points)
- Previous experience in:
- Procurement, sourcing, or supply chain
- Government / B2B tenders and RFQs
- Experience using:
- Online tender portals
- Project management tools (Notion, ClickUp, Trello, etc.)
- Knowledge of IT hardware, industrial equipment, or logistics.
