Site Admin/Finance Officer

duties

  • Manage day-to-day administrative financial and HR activities at the transmission line or substation project site office in coordination with Head Office.
  • Maintain accurate site-level financial records, including petty cash, vouchers, invoices, receipts, and supporting documents.
  • Process site-related payments (labor, services, rentals, fuel, accommodation, utilities) in accordance with approved budgets and company procedures.
  • Monitor petty cash and site cash flow, prepare weekly and monthly cash usage and balance reports.
  • Support preparation and timely submission of site financial and cost reports to the Finance Department.
  • Review and verify supplier invoices, delivery notes, work completion confirmations, and service requests related to construction activities.
  • Coordinate site procurement requests for construction-related administrative needs (tools, consumables, safety items, office supplies) in liaison with Procurement.
  • Maintain updated site asset, equipment, and inventory records, including tools, generators, vehicles, and office equipment.
  • Oversee site facilities and camp administration, including offices, accommodation, utilities, cleaning, and security services.
  • Coordinate logistics and administrative arrangements for mobilization, demobilization, site meetings, inspections, and trainings.
  • Maintain attendance sheets, timesheets, and leave records for site staff and labor, and submit summaries to HR/Finance.
  • Support HR with contract documentation, onboarding logistics, ID cards, and personnel files for site-based employees.
  • Ensure compliance with company policies, client requirements, safety standards, and internal controls related to site admin and finance.
  • Assist during internal and external audits, client inspections, and client visits by providing required administrative and financial documentation.
  • Act as the primary coordination point between the project site and Head Office for administrative HR and financial matters.
  • Carry out any other tasks as assigned by the supervisor in support of project operations.

qualification

Education: 

  • Bachelor’s degree in business administration (BBA), Economics, Finance, Accounting, or other related fields.


Experience:

  • 3–5 years of relevant experience in administration and finance roles.
  • (work experience on transmission line and/or substation projects strongly preferred).


Languages:

  • Fluency in English (required) and local languages (e.g., Pashto, Dari)

 

Technical Skills:

  • Experience handling petty cash, site expenses, procurement support, and inventory control.
  • Proficiency in MS Office (especially Excel); familiarity with accounting or ERP systems is an advantage.
  • Strong coordination, reporting, and organizational skills with the ability to work in remote and challenging site environments.
