Senior HR/Admin Officer

duties

Human Resources

  • Maintain employee records, attendance logs, leave balances, and contract files.
  • Support recruitment, onboarding, probation tracking, and exit documentation.
  • Coordinate staff evaluations, training logistics, and recognition activities.
  • Ensure confidentiality and proper filing of HR documents.
  • Respond to employee queries and escalate complex issues to the HR/Admin Manager.
  • Update HRIS and Odoo systems with employee data and status changes.
  • Assist in drafting and revising HR policies, contracts, and SOPs.
  • Coordinate monthly payroll processing, including attendance verification, leave adjustments, and salary inputs.
  • Support the HR/Admin Manager in handling employee disciplinary cases, including documentation and procedural follow-up.
  • Facilitate performance appraisal processes by coordinating evaluation forms, timelines, and feedback collection.


Administrative Operations

  • Manage daily purchasing of office accessories and consumables, ensuring proper documentation and approvals.
  • Monitor fuel usage and vehicle operations under existing contracts.
  • Maintain fixed asset registers, tagging, and handover documentation.
  • Draft routine correspondence and assist in preparing letters to government entities.
  • Coordinate with branch offices to collect operational data and documentation.
  • Ensure proper filing and archiving of administrative records and approvals.


Compliance & Reporting

  • Support documentation for internal audits and compliance reviews.
  • Maintain trackers for procurement, asset status, and HR activities.
  • Assist in preparing monthly summaries and reports for review by the HR/Admin Manager.
  • Monitor adherence to SOPs and escalate discrepancies.


Communication & Coordination

  • Liaise with branch focal points to gather HR and admin updates.
  • Facilitate internal communications regarding policy updates and procedural changes.
  • Assist in organizing staff briefings and documentation handovers.
  • Coordinate with vendors and service providers for routine administrative needs.

qualification

  • Bachelor’s degree in Human Resource Management, Business Administration, or a related field (required).
  • Master’s degree preferred.
  • Minimum 3–5 years of experience in HR and administrative roles, preferably in trading, logistics, or FMCG sectors.
  • Familiarity with HRIS platforms and Odoo ERP system is essential.
