Payment & Transaction Management
• Monitor and manage all customer payment channels, including online payments, digital wallets, Cash on Delivery (COD), and bank transfers.
• Perform daily reconciliation of transactions against system reports and bank statements.
• Ensure accurate accounting of sales, refunds, cancellations, chargebacks, and adjustments.
Order-wise Accounting & Reconciliation
• Maintain detailed, order-level financial records within the e-commerce system.
• Reconcile orders with corresponding payments, deliveries, returns, and refunds.
• Identify, investigate, and resolve discrepancies between system data and financial records.
Supplier Settlement & Commission Management
• Calculate supplier payouts, platform commissions, service fees, penalties, and deductions.
• Prepare and process supplier settlement statements in a timely manner.
• Coordinate with suppliers regarding payment schedules, reconciliations, and financial queries.
Financial Reporting & Analysis
• Prepare daily, weekly, and monthly financial and reconciliation reports.
• Track revenue, operational costs, margins, and overall platform profitability.
• Provide financial analysis and insights to management to support informed decision-making.
Budgeting, Controls & Compliance
• Support budgeting, forecasting, and financial planning for e-commerce operations.
• Ensure compliance with internal financial policies, procedures, and control mechanisms.
• Maintain accurate documentation and records for audits, reviews, and management reporting.
Coordination & System Management
• Coordinate closely with operations, logistics, content, customer support, and IT teams.
• Ensure proper financial configuration and integrity of the e-commerce system.
• Support system enhancements related to payments, reporting, automation, and financial controls.
• Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
• Proven experience in finance or accounting, preferably within e-commerce or digital platforms.
• Strong understanding of payment systems, financial reconciliation, and supplier settlements.
• Excellent understanding and hands-on experience with QuickBooks and ERP software systems.
• Proficiency in Microsoft Excel and financial reporting tools.
• High attention to detail with strong analytical and problem-solving skills.
• Excellent coordination, communication, and stakeholder management skills.
Key Performance Indicators (KPIs)
• Accuracy and completeness of financial records and reconciliations.
• Timely processing of supplier settlements and financial reports.
• Reduction in financial discrepancies and unresolved variances.
• Full compliance with financial controls, policies, and audit requirements.
