Execute end-to-end online purchasing for active projects (quote → discount → order → tracking → delivery confirmation → invoice filing).
Proactively negotiate vendor discounts via email/phone (pricing, lead time, terms) and follow up until confirmed in writing.
Manage tax-exempt purchasing workflows when applicable (collect exemption docs, submit to vendors, verify tax removal, keep records).
Maintain accurate project purchasing trackers (vendor, item, price, ETA, tracking number, invoice status, issues/notes).
Verify purchase details before ordering (specs, quantities, ship-to, compliance requirements) to avoid errors and delays.
Collect and organize all procurement documentation (quotes, invoices, receipts, packing lists, PODs) in structured folders.
Act as the project problem-solver: identify issues, research solutions, contact vendors/partners, and propose the best fix.
Provide periodic project updates (status, blockers, risks, mitigation plan, next steps) to the COO.
Coordinate with internal team members and vendors to keep each project moving and close out tasks on time.
Prepare monthly employee attendance/salary support reports (days worked, off days, performance/output summary).
Support COO with due diligence and research tasks (vendor research, product alternatives, market pricing, compliance checks).
Maintain strict confidentiality, professionalism, and rapid response for time-sensitive requests.
Must-Have
- Proven experience in procurement / purchasing (online purchasing, vendor coordination, quotes, invoices, order tracking).
- Strong ability to solve project problems independently (critical thinking + high ownership).
- Excellent vendor negotiation skills (comfortable calling vendors, pushing for discounts, documenting results).
- Fluent English (10/10) written and spoken (must communicate clearly with U.S. vendors and clients).
- Strong organization and reporting skills (trackers, folders, documentation discipline, monthly reporting).
- Reliable home computer setup + stable 24/7 internet access.
- High responsiveness, accountability, and ability to work under pressure with deadlines.
- Able to work in a fast-paced environment and manage multiple projects at once.
Preferred
- Bachelor’s degree (CS preferred) or equivalent experience demonstrating strong analytical skills.
- Experience supporting an executive/COO directly.
- Familiarity with tools like Google Sheets/Excel, Google Drive, Slack, Trello/Asana/ClickUp.
- Experience handling tax exemption certificates and vendor onboarding processes.
- Prior experience in logistics/procurement for government or B2B projects is a plus.
