Vendor Management
- Conduct market research to identify pricing trends.
- Maintain contact vendors and suppliers for updates on goods and services.
- Track orders and ensure timely delivery of products.
- Follow up with suppliers to confirm or modify orders as needed.
- Maintain updated internal databases, including records of invoices and contracts.
- Keep records of operational costs and goods movement and delivery.
- Prepare and process Purchase Requisition Forms (PRFs) and Request for Quotations (RFQs).
Logistics Planning and Quality Assurance
- Prepare annual and quarterly procurement and logistics plans.
- Prepare transportation and operational plans for each ongoing project.
- Ensure adherence to Charmahz Procurement and Finance policies
- If the libraries break down, assist the driver in finding a mechanic and acquiring the necessary materials for repairs.
- Lead the design process for new libraries, including coordinating meetings with carpenters, metal workers, and artists.
- Maintain records of vehicle and operational equipment maintenance and servicing.
- Coordinate with relevant teams to ensure operational efficiency.
- Able to travel to districts of Kabul as well as other provinces if required
- Any other task assigned by the supervisor
Qualifications
- Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
- Professional certification in procurement or supply chain management (e.g., CIPS, APICS) is a plus.
- Skills
- Strong analytical skills to identify potential vendors and assess pricing trends.
- Excellent communication and negotiation skills for liaising with vendors and suppliers.
- Proficiency in Microsoft Office Suite
- Ability to maintain accurate records and documentation.
- Strong organizational skills and attention to detail.
Experience
- Minimum of 3+ years of experience in procurement or supply chain management, preferably in an NGO or similar environment.
- Proven experience in managing vendor relationships and ensuring timely delivery of goods.
- Familiarity with compliance standards and policies related to procurement.
- Experience in preparing procurement plans and processing purchase requests (PRFs) and requests for quotations (RFQs).

Charmaghz was founded in 2018 to instill the joy of reading in Afghan children through mobile libraries. Based in Kabul and registered as an NGO, Charmaghz grew from the dreams of a group of Afghan youth whose childhoods were scarred by war, and who wanted to secure a peaceful future for the next generation. Charmaghz operates 16 mobile libraries, including five bus libraries, one van library, and ten portable library boxes, to welcome children into a safe, supportive, and creative environment. While visiting our libraries, children are supported to build essential literacy and numeracy skills, engage in art activities, have an open mind, think critically, and develop a love of reading. Across all of our activities, we utilize trauma-informed approaches that support children to process the distress and grief that nearly every Afghan has experienced.
Background:
Charmaghz is delighted to launch a new literacy and numeracy program in 2023, which will serve over 500 primary school girls in Kabul in three education centers. We are seeking a consultant to develop teaching and learning materials for this program, in Farsi, to be used by students and teachers in the program.
