Accountabilities:

-           Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MAGNA protocols, national regulations and in cooperation with the logistics department.

-           Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.

-           Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.

-           Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression

-           Ensuring efficient supply to other pharmacies managed/supported by MAGNA according to orders and stocks, and using cold chain when needed. Monitoring and analysing orders of depending pharmacies in order to avoid ruptures of stock or having expired drugs.

-           Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.

-           Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.

Assisting in training of nursing staff regarding dispensing of drugs and their side effects


Context Specific Accountabilities:

-           Responsible for supervision and monitoring all medicines and medical supplies related activities of the project in Hfs in the province

-           Assist in preparing an annual action plan for the supervision of all field activities based on the project’s work-plan.

-           Assist in provision of standard lists of medicines, medical materials and equipment, in order to prevent stock out in the project

-           Ensure that the set norms and protocols according to quality assurance tools are in place

-           Receives all medicine supply and medical equipment and check its accuracy

-           Ensure safe, clean and proper storage of all medicine and medical materials and equipment within the warehouse

-           Set up a computerized package to keep an easy, quick and accurate registration of medical stock beside using the stock cards (m-supply)

-           Keep proper updated record of the warehouse

-           Timely stocking and issuing medicines, medical materials and equipment

-           Provide medical orders, according to the actual needs of the health facilities and in hand resources

-           Identifying and estimating drug requirements and making a buffer stock for keeping the balance of “offer and demand” for medicines, medical materials and equipment

-           Control the quality, expire date and maintenance of medicines, medical materials and equipment and use (FIFO) rules

-           Assist in training of the pharmacists of health facilities

-           Regular supervision & monitoring of pharmaceutical activities, and provides on-the-job training as needed

-           Report expired and bad quality medicines on time and take measures to properly dispose them

-           Conveys all instructions of the field office to the health facilities

-           Report activities, including receive and issue of medicine on monthly basis as HFs consumption report.

-           Monitoring of warehouse and supervision from health facilities.

-           Submitting monthly report to main office pharmacy department.

-           Warehouse safety monitoring.

-           Drug hazard report including reaction.

-           Perform any other required project-related tasks.

qualification

Essential, degree of pharmacy management or nursing related studies., or medical profile.

At least 3 year certified work experience as a pharmacy Supervisor.

Knowledge of BPHS/EPHS.
