duties

1. Administrative and Organizational Tasks

  • Organizing and scheduling the President’s daily agenda, meetings, and appointments.
  • Coordinating travel arrangements, tickets, and work-related programs for domestic and international trips.
  • Maintaining and archiving official documents, files, and correspondences of the office.
  • Arranging leadership delegation flights and supervising all related travel procedures at the airport.
  • Supervising and monitoring the activities of cleaning staff, housekeepers, cooks, and office waiters.
  • Translating emails and drafts related to the President’s office.
  • Answering phone calls, emails, and written correspondence, and providing information to clients/visitors as instructed by the management.
  • Organizing and scheduling visitors’ appointments with the President and keeping records of all visitors.
  • Recording meeting minutes and reports in the computer system.
  • Preparing and supplying daily required office materials for the President’s office.

2. Communication and Correspondence

  • Answering phone calls, emails, and official letters.
  • Drafting official correspondence and memos on behalf of the Chairman.
  • Ensuring accurate and timely delivery of messages and information.

3. Time and Task Management

  • Managing the Chairman’s schedule according to priorities.
  • Following up on instructions and assigned tasks with staff or departments.
  • Reminding the Chairman of important matters and deadlines.

4. Confidentiality

  • Safeguarding confidential documents and information.
  • Preventing any unnecessary disclosure of or business information.

5. Internal and External Coordination

  • Maintaining effective communication with officials, clients, and stakeholders.
  • Preparing and organizing meetings (agenda, documents, and minutes).
  • Coordinating activities among different departments of the company.

6. Managerial Support

  • Assisting the Chairman in preparing reports and strategic documents.
  • Conducting research and collecting information for decision-making.
  • Managing small projects or special assignments as directed.


qualification

  • Education: At least a Bachelor’s degree in Management, Literature, or a related field.
  • Experience: Minimum of 2–3 years of experience in administrative or similar roles.

Skills:

  • Proficiency in computer skills (Microsoft Office, Email, Internet).
  • Excellent written and verbal communication skills in official languages (Dari/Pashto and English.)
  • Strong time management, organizational, and multitasking skills.
  • Ability to work under pressure and adapt to sudden changes.
  • Preparation of the petition in three languages: Dari, Pashto, and English.
