Procurement & Supply Chain Management

• Plan, coordinate, and oversee procurement activities in line with organizational and donor policies.
• Ensure transparency, accountability, and value-for-money in all procurement transactions.
• Maintain supplier/vendor databases, evaluate supplier performance, and ensure timely delivery of goods and services.
• Support the development and updating of procurement plans and ensure proper documentation for audit purposes.

Warehouse & Inventory Management

• Oversee the receipt, storage, and issuance of goods in line with warehouse management standards.
• Maintain accurate stock records, update inventory tracking systems, and conduct regular stock reconciliations.
• Ensure proper storage conditions, including safety, security, and preservation of goods.
• Conduct periodic physical stock counts and report discrepancies to management.

Transportation & Distribution

• Plan, coordinate, and supervise the transportation of goods, supplies, and equipment to project sites.
• Oversee the distribution process to beneficiaries, ensuring accuracy against Beneficiary Distribution Lists (BDL) and project guidelines.
• Ensure safe, secure, and timely delivery of items while maintaining proper documentation (delivery notes, waybills, etc.).
• Monitor and manage fleet usage, fuel consumption, and vehicle maintenance schedules.

Compliance & Documentation

• Ensure all logistics, procurement, and distribution activities comply with organizational policies, donor regulations, and relevant laws.
• Maintain complete and accurate records for procurement, inventory, transportation, and distribution for audit readiness.
• Support the preparation of logistics reports, including procurement status, stock levels, and distribution updates.
• Ensure adherence to anti-fraud, anti-corruption, and accountability standards.

Coordination & Capacity Support

• Work closely with program, finance, and field teams to ensure timely provision of goods and services.
• Train and guide warehouse staff, drivers, and distribution teams on logistics and compliance procedures.
• Participate in coordination meetings with project teams, vendors, and stakeholders to resolve logistics challenges.

Other Duties

• Ensure occupational health and safety standards are observed in warehouses and during transport.
• Support emergency logistics operations (e.g., rapid procurement and distribution during crises).
• Perform any other logistics-related duties assigned by the supervisor to support project implementation.
