- Assist in Developing and Posting Job Advertisements on Various Platforms
- Collaborate with the HR team to create and post job advertisements across multiple platforms
- Ensure job postings are accurate and reflect the qualifications and skills required for each position.
- Assist team to screen Resumes and Shortlist Candidates Based on Job Requirements
- Review resumes and applications for open positions, matching candidate qualifications with job requirements.
- submit the long list to the relevant department for the most qualified candidates for further screening.
- Provide support for coordinating and scheduling Practical/Written Tests & Interviews with Candidates and Hiring Managers
- Organize and schedule written or practical tests, ensuring that candidates and hiring managers are aligned on time and format.
- Coordinate interview schedules, communicate with candidates, and ensure all parties involved are informed.
- Help team to maintain Accurate Records of Recruitment Activities in Applicant Tracking Systems (ATS)
- Input and maintain up-to-date records of all recruitment activities in the ATS to ensure proper tracking and reporting of candidates throughout the hiring process.
- Track candidate progress and move applicants through various stages in the recruitment pipeline.
- Communicate with Candidates Throughout the Recruitment Process
- Serve as the primary point of contact for candidates, providing them with updates on their application status, feedback from interviews, and next steps.
- Maintain a positive candidate experience by ensuring clear and timely communication.
- Support Onboarding Activities for New Hires
- Assist in coordinating the onboarding process for new employees, ensuring all documentation, policies, and orientation materials are prepared and provided.
- Organize necessary logistics for the first day, such as IT equipment, office space, and introductions to team members.
- Assist team to prepare New Hire Personal Files as Per HGBL’s HR Checklist
- Ensure new hire files are complete and accurately maintained according to the company’s checklist, including documents such as signed contracts, tax forms, and identification.
- Ensure the timely submission of all required paperwork to the HR database.
- Assist Team in the Orientation on HGBL’s Policies to New Hired Employees
- Conduct or assist in orientation sessions for new hires, ensuring they are familiar with company policies, benefits, and procedures.
- Ensure new employees understand workplace culture, code of conduct, and any job-specific expectations.
- Collaborate with the HR Team to Improve Recruitment Strategies
- Work closely with the HR team to develop and implement strategies to attract top talent and improve the efficiency of the recruitment process.
- Contribute ideas for enhancing job advertisements, interview processes, and employee retention initiatives.
- Assist Team to Prepare and Update New Hire Tracking and Daily Activity Reports
- Maintain and update a daily log of new hires and recruitment activities.
- Track the progress of new hires during their first few months to ensure a smooth transition and successful integration into the company.
- Probation Form Submission Upon Completion of Probationary Period
- Probation review form submission to the relevant head of department/ supervisor upon completion the probationary period of the newly hired employee.
- Scanning of The Personnel Files and Uploading to The Database/ Maintaining the HR Archive as per policy
- Scanning of the personnel file and uploading to the oracle.
- HR archive should be maintained properly and regularly updated on relevant documents
- Support the Admin team with visa and work permit processes for expatriate staff
- Assist in the process of obtaining and renewing visas and work permits for expatriate employees.
- Update visa and work permit information in Oracle to enable expiry alerts and ensure timely renewals.
- Support the Admin team in managing catering and housekeeping services
- Collaborate closely with the admin team to monitor and oversee catering service operations.
- Assist the housekeeping team in their daily operational activities to ensure service quality and efficiency.
- Perform other lawful duties as assigned by the Supervisor or Head of Department (HOD)
- Carry out additional responsibilities or tasks as directed, in accordance with company policies and applicable laws.
Education: Bachelor’s degree in Human Resources, Business Administration, or a related field. (Male graduates of 2024)
Experience & Skills:
§ No experience is required for this position.
§ Good verbal and written communication abilities.
§ Basic in Microsoft Office and applicant tracking systems.
