duties

·      Maintain employee records (soft and hard copies)

·      Ensure the preparation of the staff recruitment documents and staff contracts 

·      Record Keeping Maintain the filling system

·      Prepare paperwork for HR policies and procedures

·      Process employees’ requests and provide relevant information

·      Coordinate HR projects, meetings and training seminars

·      Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes

·      Manage the department’s telephone center and address queries accordingly

·      Prepare reports and presentations for internal communications

·      Provide orientations for new employees by sharing onboarding packages and explaining company policies

·      Process the requisitions and other documents of the branches

·      Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off

·      Maintain schedule and coordinate calendar activities

·      Create reports for senior management

·      Preparing and filing of Expense Supporting Documents

·      Prepare (SOE) Statement of Expense

·      Check and verify the supporting documents that properly recorded

·      Preparing purchase documents (Purchase Request, Checking, Quotation and Invoices of Supplier, Preparing good receive note)

·      Coordinating with Branches for collecting Monthly Expense Report, with supporting Documents.

·      Prepare Monthly Expense report and share with Finance Department.

·      Any other tasks/ assignment to be provided by the line manager

qualification

·      Minimum of a Degree in Business Administration, HRM or a related field.

·      Minimum 2 years’ experience at HR or related field.

·      Computer Knowledge in MS Excel, Word, Power Point, Digital Payments Systems and outlook.

·      Proven work experience as an HR administrative assistant.

·      PC literacy and experience with MS Office applications

·      Knowledge of labor legislation

·      Excellent organizational and time-management skills

·      Self – motivated, flexible and able to work with negligible supervision.

·      Team player

·      Good time-management skills

·      Great interpersonal and communication skills

·      Familiarity with industry’s rules and regulations
