HRMIS & Data Management
- Maintain, update, and verify employee records in the HRMIS system (personal details, employment history, leaves, attendance, benefits, etc.).
- Ensure HRMIS data accuracy and consistency through regular audits and updates.
- Generate and analyze HR reports such as headcount, turnover, attendance, and leave utilization for management decision-making.
- Coordinate with IT to troubleshoot HRMIS-related issues and suggest system improvements.
- Support automation and digitalization initiatives for HR processes.
Recruitment & Staffing
- Assist in identifying staffing needs and developing job descriptions and specifications in collaboration with HR management and hiring departments.
- Post job advertisements on relevant platforms (online job portals, company website, social media, etc.).
- Screen applications, shortlist candidates, and schedule interviews.
- Prepare interview materials and assist in candidate evaluation processes.
- Support onboarding of new employees, including preparing offer letters, employment contracts, and orientation materials.
- Maintain recruitment files and ensure compliance with company and labor regulations.
Employee Records & Documentation
- Maintain up-to-date personnel files (both hard and soft copies) for all employees in accordance with company policies and confidentiality standards.
- Ensure all HR-related documents (contracts, amendments, disciplinary actions, performance reviews, etc.) are properly archived.
- Monitor employment contract renewals, probation evaluations, and staff status changes.
- Coordinate with relevant departments for timely submission of documentation related to payroll, benefits, and compliance.
Payroll & Attendance Support
- Track and verify attendance records, timesheets, and leave applications for payroll accuracy.
- Prepare and submit monthly attendance and leave summaries to the HR Manager and Finance Department.
- Support in calculating deductions, overtime, and allowances when required.
- Handle staff queries related to attendance, leave, and salary in coordination with the HR Manager.
Employee Relations & Communication
- Serve as a first point of contact for employee inquiries and HR-related concerns.
- Support employee engagement initiatives such as events, recognition programs, and surveys.
- Assist in handling disciplinary procedures and grievance processes in line with company policy.
- Promote a positive and inclusive work culture through consistent HR communication and follow-up.
Performance Management & Training Support
- Assist in coordinating performance appraisal cycles, collecting evaluation forms, and following up with supervisors.
- Help monitor individual development plans and training records.
- Support HR in identifying staff training needs and organizing internal or external training sessions.
- Maintain updated training records in HRMIS and prepare periodic capacity-building reports.
HR Policy Implementation & Compliance
- Ensure compliance with company policies, labor laws, and employment regulations.
- Support HR in updating, communicating, and implementing HR policies and procedures.
- Assist in internal HR audits and contribute to maintaining ISO/HR compliance documentation if applicable.
- Keep abreast of changes in HR best practices and labor legislation.
General HR & Administrative Support
- Prepare HR letters (employment verification, reference, promotion, etc.) as requested.
- Participate in HR departmental meetings and contribute to process improvement discussions.
- Support the HR Manager in preparing HR presentations, reports, and data summaries.
- Perform other duties as assigned by the HR Manager or senior management.
- Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
- At least 2–3 years of relevant experience in HR or administrative support roles.
- Hands-on experience with HRMIS, HRIS, or similar database systems.
- Excellent computer skills (MS Excel, Word, PowerPoint, Outlook).
- Strong communication, interpersonal, and organizational skills.
- High level of accuracy, confidentiality, and professionalism.
- Fluency in English required; proficiency in Dari and Pashto is an advantage.
Skills & Core Competencies
- HRMIS / HRIS Proficiency: Strong knowledge of human resource information systems for data management, reporting, and analytics.
- Recruitment & Selection: Skilled in job posting, screening, interviewing coordination, and onboarding.
- Personnel Administration: Experience in maintaining accurate personnel records, contracts, and HR documentation.
- Payroll & Attendance Support: Understanding of timekeeping, leave management, and payroll data preparation.
- Performance Management: Familiarity with performance appraisal systems and data tracking.
- HR Policies & Labor Law: Working knowledge of national labor laws, HR regulations, and internal policy compliance.
- Data Management & Reporting: Ability to generate and analyze HR reports (headcount, turnover, leave, etc.) for management use.
