duties

HR Administration & Data Management:

  • Monitor, accurately record, and report on daily employee attendance for all branches, accounting for regional differences.
  • Maintain and update all employee files and records within the HRMIS and structured Google Drive platforms, ensuring the highest levels of data integrity and confidentiality.
  • Perform clerical duties including filing, scanning, and data entry to ensure all HR documentation is current and accessible.

Talent Acquisition & Lifecycle Support:

  • Manage the full-cycle recruitment process for designated roles, including job postings, proactive sourcing, CV screening, and candidate communication.
  • Coordinate the entire interview process, scheduling complex interviews across multiple time zones for candidates and hiring managers.
  • Lead the onboarding process for new hires in overseas branches, including documentation preparation, orientation programming, and ensuring a seamless first-day experience.
  • Support the off boarding process for departing employees, including exit interviews and documentation.

 

Compensation, Benefits & Payroll Coordination:

  • Manage and coordinate employee benefits programs for staff, acting as a liaison with providers.
  • Process and track all employee leave requests, ensuring alignment with local policies.
  • Compile, verify, and manage accurate payroll inputs for employees and submit detailed reports to the HR Manager for approval and processing.
  • Administer and maintain records of employee loans and advances, ensuring compliance with company policy.

Employee Relations & Compliance:

  • Serve as the first point of contact for employee queries from overseas branches, resolving issues or escalating them to the HR Manager as needed.
  • Assist in the development, communication, and implementation of global HR policies, ensuring they are understood and adhered to within the framework of local labor laws.
  • Actively follow up on HR policy compliance across all branches.
  • Provide crucial support for internal and external HR audits and compliance checks by preparing necessary documentation and reports.

Reporting & Analysis:

  • Prepare and distribute routine and ad-hoc HR reports for HR team (e.g., overtime, leave balances, headcount, turnover, recruitment status).

Added Critical Tasks (Often Required for Global Roles):

  • Assist in coordinating cross-cultural training and development initiatives.
  • Support the annual performance review cycle for teams.
  • Stay informed of changes in local labor laws in the countries where our branches operate and flag potential compliance issues.
  • Help coordinate international travel and relocation logistics for employees, if applicable.
  • Support the HR Manager in compiling data for job pricing and benchmarking in different markets.

qualification

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Proven experience (3+ years) in HR.
  • Demonstrable experience managing end-to-end recruitment and full employee lifecycle processes.
  • Hands-on experience with HRIS, payroll software, and proficiency in Google Workspace (especially Google Drive management).
  • Exceptional attention to detail and unmatched organizational and time-management skills.
  • Superior communication and interpersonal skills, with the sensitivity to work across diverse cultures and time zones.
  • Ability to handle highly confidential information with discretion and integrity.

Preferred:

  • Professional HR certification (e.g., SHRM-CP, PHR).
  • Familiar with the labor laws.
  • TOEFL or IELTS Certificate
  • Proficiency in a second language.
