Key Responsibilities
- Manage daily accounting entries and ensure accuracy in QuickBooks.
- Follow up on outstanding Accounts Receivable (AR) and coordinate with clients and internal teams.
- Assist the Finance Manager in month-end closing activities, reconciliations, and financial reporting.
- Prepare working sheets, financial schedules, and draft required supporting documents.
- Maintain organized filing systems for financial documents (digital and physical).
- Support audits by providing required documentation and clarifications.
- Monitor vendor and client accounts to resolve discrepancies.
- Ensure compliance with company financial policies and local regulations.
- Perform any other finance-related tasks assigned by the Finance Manager.
Key Result Areas (KRAs)
Financial Record Accuracy
- Ensure accurate and timely posting of all financial transactions in QuickBooks.
- Maintain organized digital and physical filing systems for all financial documentation.
Accounts Receivable (AR) Management
- Conduct timely follow-ups on outstanding receivables.
- Coordinate with clients and internal departments to resolve AR-related issues.
Financial Reporting & Working Sheets
- Prepare working sheets, financial schedules, and draft required supporting documents.
- Assist the Finance Manager with month-end closing and financial reporting tasks.
Support to Finance Manager
- Provide timely and reliable assistance in all finance-related operations.
- Ensure smooth workflow within the finance team.
Compliance & System Use
- Ensure proper use of QuickBooks aligned with accounting standards.
- Support internal and external audits by preparing requested documents.
Job Requirements
- Bachelor’s degree in accounting, Finance, or related field.
- 1-2 years relevant accounting/finance experience.
- Strong working knowledge of QuickBooks and MS Excel.
- Experience with Accounts Receivable follow-ups, reconciliations, and month-end support.
- High attention to detail, strong organization, and timely task completion.
- Ability to comply with company policies and support audits and financial reporting.
Key Performance Indicators (KPIs)
Financial Accuracy & Compliance
- ≤ 2% error rate in accounting entries.
- 100% filing compliance with no missing documents.
- All reconciliations completed by monthly deadlines.
AR Follow-Up Efficiency
- Weekly follow-up completion on all outstanding AR.
- Achieve quarterly AR aging reduction targets (e.g., 10–15%).
- Monthly AR aging report submitted on schedule.
Reporting & Working Sheet Quality
- 100% on-time submission of required working sheets and reports.
- Zero rework due to accurate issues.
- Month-end closing tasks completed within designated timelines.
Task Completion & Support
- All assigned tasks delivered within agreed timelines.
- Positive internal feedback on reliability and professionalism.
- No project or reporting delays caused by pending finance officer tasks.
System & Audit Performance
- Demonstrated proficiency in QuickBooks with no basic-level errors.
- Zero non-compliance findings during audits.
- Audit support documents submitted within the required timeframe.
