Finance and Administration Officer

Financial Management 

  • Process and track payments to internal and external stakeholders. 
  • Manage all accounting transactions with complete supporting documentation. 
  • Carry out monthly bank reconciliations for operational bank accounts. 
  • Prepare monthly financial reports for review by the Finance and Administration Manager. 
  • Support budget forecasts and financial planning for project activities. 
  • Reconcile accounts payable and receivables. 
  • Manage payroll computations for staff, consultants, and interns. 
  • Report on financial health, liquidity, and compliance with donor requirements. 
  • Audit financial transactions and maintain strict data confidentiality. 

Administration and Operations 

  • Provide administrative support for office management, procurement, and facility maintenance. 
  • Implement and enforce administrative policies and procedures. 
  • Support coordination of logistics, procurement, and service contracts. 
  • Identify and mitigate financial and operational risks. 
  • Maintain up-to-date records for contracts, payments, and procurement files. 

Compliance and Support 

  • Ensure adherence to accounting regulations, procedures, and donor requirements. 
  • Maintain compliance with financial policies and organisational regulations. 
  • Provide advice and support to regional programme teams on financial processes. 
  • Recommend cost-saving opportunities and improvements to financial systems. 

Deliverables: 

  • Accurate monthly financial reports. 
  • Completed bank reconciliations and payroll records. 
  • Procurement and administrative files maintained. 
  • Risk mitigation reports and cost-saving recommendations. 
  • Annual financial audit support provided. 


qualification

Qualifications and Experience: 

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field. 
  • Professional qualification or progress towards ACCA/ACA is an asset. 
  • Minimum 2–5 years’ experience in financial and administrative roles. 
  • Strong knowledge of accounting standards and financial reporting. 
  • Experience working with donor-funded projects preferred. 

Required Skills and Competencies: 

  • Excellent knowledge of accounting procedures and ERP systems. 
  • Advanced proficiency in MS Excel and financial software. 
  • Strong attention to detail and analytical skills. 
  • Experience with general ledger functions and reconciliations. 
  • Strong stakeholder management and negotiation skills. 
  • Ability to prioritise and manage multiple tasks in fast-paced environments. 
  • Languages: Fluency in English (written and spoken); proficiency in Dari and Pashto is an asset.

  • Submit monthly financial and administrative reports to the Finance and Administration Manager.

  • Provide additional reports as required by programme leadership and donors.
