Financial Management & Transactions
- Manage daily financial transactions, including cash, bank, and petty cash operations.
- Ensure all payments, receipts, and financial records are accurately documented, authorized, and compliant with organizational policies.
- Process payroll, staff reimbursements, vendor payments, and advances in a timely manner.
- Maintain accurate ledgers and ensure reconciliation of accounts with supporting documentation.
Budgeting & Financial Reporting
- Support the preparation and monitoring of project and organizational budgets.
- Track expenditures against budgets and provide timely variance analysis to management.
- Prepare regular financial reports (monthly, quarterly, and annual) for internal and donor requirements.
- Assist program teams with budget forecasts, expenditure tracking, and cost allocations.
Administrative Management
- Maintain up-to-date administrative records, contracts, lease agreements, and organizational documents.
- Ensure smooth day-to-day office operations, including utilities, office supplies, and facility management.
- Maintain an organized filing system for finance, HR, and administrative documents.
- Support procurement processes by reviewing financial documentation and ensuring compliance with procedures.
Human Resources (HR) Support
- Support recruitment processes, including job postings, scheduling interviews, and maintaining personnel files.
- Ensure compliance with HR policies, including staff contracts, leave management, and performance evaluations.
- Maintain updated staff records and assist in payroll preparation.
- Provide guidance to staff on HR and administrative policies.
Audit & Compliance
- Support internal and external audits by preparing documentation, reconciliations, and financial statements.
- Ensure compliance with donor financial guidelines, government regulations, and organizational policies.
- Address audit findings and implement corrective measures as required.
- Monitor adherence to anti-fraud, anti-corruption, and accountability standards in financial and administrative practices.
Coordination & Capacity Support
- Work closely with program, logistics, and management teams to ensure financial and administrative support is timely and efficient.
- Train and guide junior staff on financial and administrative procedures.
- Provide financial and administrative updates during coordination meetings as needed.
Other Duties
- Support emergency finance and administrative operations when required.
- Ensure confidentiality and security of financial and HR data.
- Perform any other tasks assigned by the supervisor to support project implementation and organizational goals.
- Bachelor’s in Finance, Accounting, or Business Administration.
- At least 3 years of finance/administration experience, preferably in NGOs.
- Proficient in accounting software and MS Office.
- Fluency in Dari, Pashto, and English.
