duties

1. Responsibilities:

  • Prepare daily purchase invoices and upload them to the drive.
  • Data entry in QuickBooks.
  • Managing office supplies and inventory.
  • Organizing meetings and appointments.
  • Maintaining filing systems (digital and physical).
  • Assisting in preparing reports of daily purchases.
  • Payment of invoices.
  • Print and scan the documents.
  • Providing administrative support to management and staff.

2. Procedures:

  • Review the calendar daily and confirm appointments and meetings.
  • Schedule meetings, conferences, and appointments for management.
  • Ensure meeting rooms are booked, and any necessary resources (projectors, refreshments) are arranged.
  • Handle any last-minute changes to schedules.

3. Office Supplies Management:

  • Monitor office supply inventory levels, including paper, pens, and printer toner.
  • Place orders for replenishment when necessary, ensuring costs are within budget.
  • Organize and maintain stock in the supply room.
  • Check the stock of both offices every day.
  • Ensure that daily purchase orders are accurate.

4. Filing and Organizing:

  • Organize and maintain filing systems for documents, records, and other paperwork.
  • Ensure all documents are properly labeled and easy to locate.
  • Periodically audit files and archives to ensure outdated documents are discarded or archived according to company policy.
  • Archive all daily purchase documents.
  • Keep an accurate record of all completed tasks, including meeting schedules, document filings, and inventory orders.

5: Miscellaneous Tasks:

  • Assist with event coordination, including internal company events and staff meetings.
  • Prepare reports, presentations, and spreadsheets as needed for the management.
  • Provide support for other administrative staff during peak workloads or absences.
  • Provide support for the general service staff.
  • Perform general office maintenance to ensure a professional environment.

6: Safety and Compliance:

  • Follow company procedures for maintaining workplace safety.
  • Ensure that confidential information is handled according to the company's data protection policies.
  • Adhere to any industry regulations related to office management.


qualification

Required:

  • Bachelor’s degree in Economics, Business Administration, Accounting, or a related field.
  • Proven experience (2+ years) in Admin/Finance.
  • Hands-on experience with payroll software, and proficiency in Google Workspace (especially Google Drive management, QuickBooks, and MS Excel).
  • Exceptional attention to detail and unmatched organizational and time-management skills.
  • Superior communication and interpersonal skills, with the sensitivity to work across diverse cultures and time zones.
  • Ability to handle highly confidential information with discretion and integrity.
  • Strong knowledge of Mathematics.

Preferred:

  • Professional Quick Book, Payroll, and Tax calculation.
  • Familiar with the labor laws.
  • Having a full understanding of the English Language, TOEFL or IELTS preferred.
  • Proficiency in a second language.
